How to check a tenant’s bank statement

Bank statements are the most honest document in an application, which is exactly why they are the one forgers most need to alter. Here is what to look for, and the arithmetic that no edited statement survives.

What a bank statement actually proves

Payslips and references are claims other people make. A bank statement is different: it is a ledger, and a ledger has to add up. Money in, money out, running balance, every line dependent on the one before. That structure is what makes statements the best evidence a landlord holds, and the hardest thing to fake well.

The checks that work

  • Re-add the running balance. Start at the opening balance, apply each transaction, and the printed running balance must agree at every line, and the closing balance must follow from the whole month. Remove a rent payment or inflate a salary credit and the ledger stops adding up somewhere. This is the check edited statements fail.
  • Join the months. One month’s closing balance is the next month’s opening balance, to the penny. Statements that do not join have a month missing or a number changed.
  • Find the salary, every month. The employer’s name against a credit, the amount agreeing with the payslip, the pattern repeating. One-off round-number credits labelled vaguely are worth a question.
  • Treat gaps as questions. A missing month is rarely an accident. Ask for it plainly; a genuine applicant sends it.
  • Insist on the real file. A screenshot or photo of online banking strips out everything checkable. Ask for the PDF the bank itself produced. And an edited PDF often still carries its original figures underneath the changes, recoverable with the right software.

If a statement does not add up

Same rule as every document check: no accusations. Say the statement could not be verified and ask for an alternative, a fresh download from the bank, or the other account the rent actually moves through. Genuine applicants fix it in minutes. What you are watching for is not the error but the reaction to being asked.

Questions landlords ask

The edges of statement checking.

Can I really ask applicants for bank statements?

Yes: income evidence is a normal, legitimate part of referencing, and statements are the strongest form of it. Ask every applicant for the same months, use them only for the letting decision, store them securely, and do not keep them longer than needed.

What about app-based banks with no paper statements?

Every UK bank, app-based included, exports a proper PDF statement from within the app. That export is what to ask for; it carries the structure that makes verification possible, which a screenshot does not.

What does an edited statement actually look like?

Usually: perfect. That is the point. The edits worth making are small, a salary nudged upward, a recurring payment removed, and they are invisible to the eye while breaking the arithmetic underneath. Which is why the method is re-adding, not squinting.

The statements show gambling or heavy spending. Can I judge on that?

What you are assessing is affordability: does the income land, and does enough remain each month for the rent. Judge on that arithmetic, applied identically to every applicant, rather than on taste in spending. It is both fairer and a better predictor.

What if an applicant refuses to provide statements?

They may have reasons, but you are entitled to a consistent evidence bar, and an application without income evidence is simply incomplete. Offer the alternatives you accept, tax records for the self-employed, for instance, and hold the bar level for everyone.
