Who recorded what, and when
Every line says whether it was recorded by the system, attested by you, or submitted by the tenant. Two clocks on every entry: UK time, and the exact stamp beside it.
One export, fingerprinted
One file per tenancy: the terms, the deposit record and its checklist, every rent entry, the dated condition photos, certificates and the repair log. Photos are fingerprinted on arrival and the export prints its own fingerprint on every page.
The record describes; it never decides. Nothing in the file says a ground is met or a tenant is in breach. What a court or a scheme adjudicator makes of it is theirs. What you have is the dated evidence in one place, instead of a folder of screenshots and a scroll through your bank app.

The practical edges of keeping the record.
Is the file court-ready?
We do not use that phrase, because no software can promise what a court will accept. What we can say is what the file is: dated, attributed, fingerprinted and complete, built at the time rather than reconstructed afterwards.
What does “fingerprint” mean?
A long code computed from the file’s contents. Change one character and the code changes, so anyone holding a copy can check it matches the original. Each photo gets one when it arrives; the export prints its own on every page.
Can I export it at any time?
Yes. One PDF per tenancy, whenever you want it, covering everything recorded up to that moment. Export it again later and the new one covers the extra months.
What if I disagree with something the tenant submitted?
It is labelled as submitted by the tenant, and your own entries are labelled as yours. The file shows both, each with its date. Nothing is quietly rewritten.
Does it cover more than one property?
Yes. Every tenancy has its own file. The Keeper plan covers one property and Portfolio covers up to 10 for £15 a month.
